Minutes:  FORM (Friends of Rockville Music)

March 12, 2012

Attendance:  Susan Townsend Gray, Kara Garraty, Holly Shropshire, Jennifer Rossmere, Wendy Hoffman, Ronald Johnson, Phil Barnes, Susan Apter, Beth Peterson

President’s Report

Susan Townsend Gray welcomed everyone to the meeting.  She said she heard the Cluster Concert went very well.  The bake sale was very successful – all in all we had a great turnout.  The high schoolers were fantastic.  They really helped the younger classes get organized and handled any troubleshooting that needed to be done.  There were some inquiries as to if there should have been an intermission – not sure if there is an appropriate time in the performance to break – also it is time consuming getting performers on and off stage and we don’t want to end too late.  We will revisit this topic before next year’s cluster concert.

Susan said this would have been a good month to invite Wood parents to come to the Form Meeting – she will try to do this for the April meeting.  Susan Feels it would really help parents not feel so overwhelmed.


The minutes were reviewed and, there being no changes, Susan T. Gray moved to approve, it was seconded and the minutes were approved.

Treasurer’s Report

Jennifer Rossmere went over the Treasurer’s Report.  Starting balance is $8376.59 with additional income of the following:  Donation of $50, California Tortilla Fundraiser $110.35, Donation from Giant Food for Barnes & Noble performance snacks, Bake sale for Choir Cluster Concert $217.32 – total income $402.67.  Expenses – frames for percussion equipment $3945, Snacks for Chamber Concert at Barnes & Noble $24.64 – total expenses $3969.64.  The ending FORM balance is $4,809.62.  The trip balance remains the same at $890.45 and the Chorus Balance is $274.35, leaving the total assets at $6063.42.

Director’s Report

Ron Johnson received the remaining uniforms today – Festival is on Wednesday.  Ron Johnson thought the Barnes and Noble chamber concert/fundraiser went very well – he thought the environment was good – the location was just right.

Phil Barnes said he lost his oboe player but is on the lookout for a replacement.  The pep band had a great season -  there was a lot of great energy.  Phil Barnes thought Barnes and Noble concert went very well and he thought it was a good location as well  - it gives solo and ensemble a chance to perform before festival.  Solo and Ensemble received 1’s and one performer received a 2.  The orchestra festival is tomorrow and band is a week from tomorrow.  The student teacher will be here full time starting Monday for the next 7 weeks – she will be taking over classes after festival.  The mulch sale is coming up in April.  Phil Barnes discussed the pit cover – Mike Elmore had a good discussion with Dr. Munk about using the pit cover.

Old Business

Susan T. Gray discussed the t-shirts.   A design needs to be decided on – too many designs means more costly t-shirts – we need to decide on one.  Susan asked if we should pre-order shirts to have for sale at the next fundraiser?  Maybe the students should vote on one of the three designs.  Also, should FORM use the sale of t-shirts as a fundraiser or should we sell them at cost?  Susan said we will have an order form at the Panera Bread fundraiser.

New Business

Susan discussed the upcoming fundraiser at Panera Bread.  It will be from 6:00 to 9:00 and we need to have a table set aside for t-shirt forms and Susan will do a music poster board with various photos highlighting the music department.  The next FORM meeting will be on April 16th.

There being no further business to discuss, the meeting was adjourned at 8:00 p.m.
