Minutes: FORM (Friends of Rockville Music) Meeting
May 9, 2011

Secretary’s Report from Karen Griffin
The Secretary’s Report was read and approved without changes.
Susan T. began by saying the Pot Luck Dinner was a huge success and thanked Ron for his words before dinner. She felt the dinner was more organized and easier with the sign-up Genius and was pleased that more people helped with the set-up and clean-up. Susan thought the year was very successful but acknowledged the ongoing challenge facing the Music Department in the future. She was especially please with some of the changes FORM made this year, such as the scholarship fund establishment and will work harder to communicate better with parents next year.
Treasurer’s Report from Jennifer Rossmere
Jennifer presented the treasurer’s report from May 9 – June 6, 2011. She began by reporting FORM’s beginning balance of $3,364.34 and reported income of $250.00 from a donation from a Booster Club Officer for a total income of $250.00. Expenses included: snacks for Atlanta trip of $75.31; End of Year Gifts of $242.50; $.50 difference from Bank Statement; $96.09 for decorations for music banquet; $62.36 from Yankee Candle Sales Tax for total expenses of $76.76. She reported the RHS Account with a beginning Wreath Sale balance of $218.15 with a $170.94 payment for Sales Tax for the total wreath sale account of $47.21. Yankee Candle beginning balance of $2,961.23 with expenses of $2,371.63 for Yankee Candle Payment; sales tax payment of $167.62 for a total Yankee Candle Account of $421.98. Therefore the ending RHS account balance of $489.19. There wasn’t anything to report for the Trip Balance this month.
Jennifer also reported on the Annual Report for the Period of June 15, 2010 – June 6, 2011. The beginning balance from June 14, 2010 was $6,749.27 with income from: membership of $560; Donations of $745; Bake Sales of $1,064.10; Poncho collection of $50.00; Goodsearch of $51.80; Miscellaneous of $41.40; Wreath Sale fundraiser of $6,941.85; Sally Foster of $3,824.41; Yankee Candle of $4,062.85 and Chick-fil-A of $101.87 for a total income of $17,443.28. Expenses included: drum heads for $1,043.00; Senior Year Ad of $100; Ponchos for March Band of $675; End of Year Gifts of $242.50; End of Year Awards of $231.90; Photocopying of $77.91; Atlanta Trip of $4,831.30; Sub for Festival of $250.74; Decoration for Potluck of $96.09; Snacks for Atlanta Trip of $75.31; Miscellaneous $$.26; Pizza for Marching Band Celebration of $76.91; Wreath Sale Expense of $5,655.68; Sally Foster Fundraiser of $1,992.00; Yankee Candle Fundraiser $4,743.26 (paid twice expecting refund); Sale tax of $400.92. Therefore the FORM ending the balance is $3,695.77.
Susan T. believes the Treasurer’s role will change because most of the funds will be going into the Rockville School account and believes the role will shift more towards tracking and working with Ms. Gamage.
Jennifer said she would continue as Treasurer next year if no one steps forward.
The Treasurer’s report was accepted without change.
Phil began by saying Rockville will be getting a donated piano and said the Booster Club will pay to have it moved. He continued by saying he is still searching for a Treasurer and will work on getting a candidate over the summer. Next he said that next year’s Marching Band theme will be Star Trek and said he has most of the music. He continued by saying he still plans on going to Wood for recruiting and expects the same number of kids joining as this year. He said the numbers in music at Wood is still low but said there is a 90% retention rate. Phil said there will not be an AP Music Theory Class next year and that he will be teaching IB Music. He said students not in the IB program could also sign up for the class. He said there are 15-20 students already signed up.
Ron said he is back full-time next year and said the kids are enthused about the program. He thanked Phil for directing during graduation and thought it was wonderful that so many seniors wanted to perform on stage. He continued by saying he will be trying to recruit more boys for Chorus and for the musicals next year.
The summer Fundraiser meeting was scheduled for July 14 at 7:00 pm in the Rockville band room. Amy said she will volunteer for the Wreath Sale again for next year but would like someone to work with her for taking over when she leaves. Phil said he knows of a parent who will work with Amy.
